Privacy Policy

Last updated: August 12, 2026 · Effective: August 12, 2026

ToDoForce ("the app", "the Service", "we", "us", or "our") is a personal task manager built around the Eisenhower Matrix. We take a privacy-first approach: we collect only the data the app needs to function, we never sell your personal information, and we do not show advertising. This Privacy Policy explains what we collect, why we collect it, how it is stored and shared, how long we keep it, and the rights you have over it.

1. Who this policy applies to

This policy applies to everyone who uses ToDoForce, whether you create an account with email and password, sign in with Google, or use the "Try the demo" mode without an account. By using the app, you agree to the practices described here.

2. Information we collect

We collect the following categories of data, and only for the purposes described in Section 3:

CategoryExamplesSource
Account dataEmail address; if you use Google sign-in: your name, email address, and profile photoYou / your Google account
Task contentTasks, lists, quadrant placement, due dates and times, notes, focus ("Must-Do") selections, completion and "done" statusYou
Photo attachmentsPhotos you choose to attach to a calendar appointment, up to three per appointment. The app resizes each one before it leaves your device and never reads your photo library on its own — you pick each file yourself through your device's own picker. Photos attached to an appointment you share are visible to the family members you shared it with. You
Reminder dataA device push-notification token, and your reminder on/off preferenceYour device (only if you enable reminders)
FeedbackMessages you send through "Send Feedback" and the contact email you provide thereYou
Billing dataIf you buy Pro, we store the identifier your payment processor assigns to you, the identifier of your subscription or one-time payment, the plan you bought, and the date on which your access renews or ends. We never receive or store your card number, because Stripe and Google Play handle card details on their own systems.Stripe or Google Play, when you complete a purchase
Technical dataBasic information your browser sends with each request (e.g. IP address, browser type) and online/offline status, used to operate and secure the ServiceAutomatically

In "Try the demo" mode, you are not asked for an email or password. Demo content is sample data and is not tied to a personal identity.

3. How we use your information

We do not use your personal information for advertising, and we do not sell or rent it to third parties.

4. Legal bases for processing

Where data-protection laws such as the GDPR apply, we rely on the following legal bases:

5. AI reports and third-party processing

The app can generate AI-powered productivity reports. When — and only when — you request a report, the relevant task text is sent through our secure backend to Google's Gemini API, which generates the report and returns it to you. We do not send your task data to any AI service in the background or for any other purpose. AI output may be inaccurate; it is provided for convenience, not as professional advice.

6. Service providers and data sharing

The app is built on Google Firebase, and paid subscriptions are handled by external payment processors. We share data with these providers only to the extent needed to run the Service:

Provider / servicePurpose
Firebase AuthenticationAccount creation, email and Google sign-in, session management
Cloud FirestoreSecure cloud storage and sync of your tasks and lists
Cloud Storage for FirebaseStoring the photos you attach to an appointment, and serving them back to you and to the family members that appointment is shared with
Firebase Hosting & Cloud FunctionsServing the app and running secure backend logic (including the AI report proxy)
Firebase Cloud MessagingDelivering reminder notifications to your device
Google Gemini APIGenerating AI reports you request (see Section 5)
StripeProcessing payments you make on the web, storing your card details on Stripe's own systems, and providing the billing portal in which you update your card or cancel your subscription
Google Play BillingProcessing purchases you make inside the Android app, which Google's payments policy requires for in-app digital subscriptions

The Google services listed above process data under Google's security and privacy terms. Stripe processes your payment data under its own privacy policy, and it acts as an independent controller of that data for fraud prevention and for meeting its legal obligations. We may also disclose information if required by law, to enforce our Terms, or to protect the rights, safety, and security of our users and the Service.

7. On-device storage, cookies, and offline data

ToDoForce is a Progressive Web App and works offline. To do this, it stores data on your own device:

We use these technologies to operate the app, not for advertising or cross-site tracking. You can clear this data at any time through your browser settings; doing so signs you out and removes the offline cache.

8. International data transfers

Google operates data centers around the world, so your data may be stored and processed in countries other than the one where you live, including the United States. Where required, such transfers are protected by appropriate safeguards under Google's data-processing terms. If you buy Pro on the web, Stripe likewise processes your payment data outside your country of residence, including in the United States, under the transfer safeguards set out in its own privacy policy.

9. Data security

We take reasonable measures to protect your data, including:

No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please keep your password and devices safe.

10. Data retention and deletion

We keep your account and task data for as long as your account is active. Demo ("Try the demo") data is temporary and resets daily. You can delete individual tasks and lists in the app at any time. A photo you attach is kept until you remove it from the appointment or delete your account; removing it in the app deletes the stored file, and deleting your account deletes every photo you have uploaded. To delete your entire account and associated data, contact us through the in-app "Send Feedback" option, and we will remove it within a reasonable period, except where we are required to retain certain information by law. Records of payments you have made are one such exception, because tax and accounting law requires us to keep them for a defined period even after your account is deleted.

11. Your privacy rights

Depending on where you live, you may have the right to:

To exercise any of these rights, email frack318@gmail.com or use the in-app "Send Feedback" option. We will not discriminate against you for exercising your rights.

12. Children's privacy

ToDoForce is not directed to children under 13 (or the minimum age required in your country), and we do not knowingly collect personal information from them. If you believe a child has provided us with personal data, contact us and we will delete it.

13. Do Not Track and tracking

We do not use third-party advertising networks or cross-site tracking, and we do not track your activity across other websites. Because we do not track you in this way, we treat all users consistently regardless of any "Do Not Track" browser signal.

14. Changes to this policy

We may update this policy as the app evolves or as the law changes. When we make material changes, we will update the "Last updated" date above. Your continued use of the app after a change means you accept the updated policy.

15. Contact us

If you have questions, requests, or concerns about your privacy, email frack318@gmail.com or use the "Send Feedback" option inside the app. We aim to reply within 5 business days.

This policy describes the current data practices of ToDoForce and is provided for transparency. It is not legal advice. If you operate the app in a regulated context, consider having it reviewed by a qualified professional.
